Basic concepts you need to know

Before making your first import, it is important to understand the key concepts of international trade. Here we explain the main ones:

EORI (Economic Operators Registration and Identification Number)

It is a mandatory number for any company or self-employed individual wishing to carry out import or export operations outside the European Union.
It is requested from the Tax Agency (AEAT) and is the first step to operating legally.

SAD (Single Administrative Document)

The SAD is the official document used to declare an import to Customs.
It includes all the details of the goods, the customs value, and the applicable taxes.
Without a correctly submitted SAD, the goods cannot be cleared or enter the customs territory.

Tariffs

If you are starting with low volumes, you can begin as a self-employed individual. But if you plan to grow or work with large international suppliers, setting up a company is the most advisable option.

Basic documentation to import into Spain

Although the requirements may vary depending on the type of product or country of origin, every import must include at least the following documents:

  • Supplier’s commercial invoice
    It must indicate: product description, price, delivery terms (Incoterm), country of origin, and the exporter’s and importer’s details.
  • Packing list
    Details the packaging, number of packages, weight, and dimensions.
  • Transport document
    It may be a Bill of Lading (BL), Air Waybill (AWB), or CMR, depending on the mode of transport.
  • Importer’s EORI number
    Essential for any foreign trade operation.
  • Import SAD
    Submitted electronically to Customs to authorize the legal entry of the goods.
  • Specific certificates (if applicable)
    Food, plant, pharmaceutical, or cosmetic products may require health, phytosanitary, or CE certificates.
